Secure Document Exchange

The WatchDox Secure Document Exchange service allows your organization to share sensitive documents easily and securely. It can prevent documents from leaking to unauthorised users by restricting recipients from copying, editing, printing or forwarding documents. It can also apply watermarks and track documents while maintaining a granular audit trail of all interactions for security and compliance purposes. WatchDox also allows companies to wipe out shared documents – even after they have been downloaded.

The WatchDox Secure Document Exchange service can integrate with Microsoft Outlook, allowing users to send documents directly from Outlook without having to learn additional tools. Recipients, inside and outside the organisation, can access shared documents without installing any plug-ins. Access is available from any platform, including smartphones and tablets. Additionally, WatchDox facilitates secure viewing and editing of documents within Adobe PDF Reader and Microsoft Office while restricting the copying, printing and forwarding of these documents. In essence, WatchDox provides a 'Secure Sandbox' to work on documents outside the boundaries of the organisation.

Organisations can opt to apply document protection at the group or organisation level, according to various parameters, thereby minimising the risk of documents getting into the wrong hands. The secure document exchange service can also utilse the WatchDox APIs to integrate with the customer’s systems and thereby facilitate the sharing of documents with potentially thousands of users.

Outlook integration
		You can send document securely via the WatchDox web interface or install the WatchDox plug-in to send secure attachments directly from Microsoft Outlook. You may click the 'send via WatchDox' button whenever you wish an attachment to be secured, or configure a policy to do so automatically. Documents sent can be as large as a few gigabytes.
Enterprise-wide policies (coming soon)
		The administrator may set enterprise-wide policies, defining the level of document protection applied to documents as they are shared. For example, administrators may lock down some or all the documents sent outside the organisation and prevent them from being copied, printed or forwarded onward.
Document Control
		WatchDox lets your organisation send out sensitive documents easily while enforcing tight security throughout the lifecycle of these documents by restricting downloading, editing, forwarding and printing. It does not require software installation or the management of passwords. At any point, the documents’ owner or the administrator can choose to revoke access to them – even after they have been sent!
Document tracking
		A detailed audit trail allows each interaction with a document to be logged, with its time, user identity and geographic location. This audit trail can be exported to other systems for further data mining.
Custom watermarks
		The WatchDox service adds watermarks to your organisation’s documents. The watermarks display the recipient’s identity, deterring recipients from the temptation to leak the documents.
Automatic expiration
		When sending out documents, your users may set 'time bombs' (for example, one day, one month), or you can enforce such a policy across the organisation. Once a document has expired, the recipients can no longer access it or view it.
Secure online viewer
		The WatchDox secure web-based viewer allows authorised users fast and virtually seamless access to shared documents by streaming them in an encrypted stream into their browser. It requires no software installation by the recipients. All this, while enforcing the security policy on the document as defined by its owner, restricting downloading, copying, printing and forwarding, applying watermarks and setting document expiration. The online viewer is able to securely render Adobe PDFs, Microsoft Office documents, OpenOffice files, most image documents and many other document types.
Mobile device access
		Secure viewing of documents is available on most smartphones and tablets, including Android (version 2.2 and above), iPhone and iPad, as well as Blackberry (in beta), making it easy and convenient for executives and mobile workers to securely access shared documents from anywhere. Secure editing and collaboration
		The WatchDox Secure Document Sharing service supports the downloading, viewing and editing of documents natively within Microsoft Office and Adobe PDF reader. Doing so requires the recipient to install the WatchDox plug-in, which ensures the restrictions imposed on the documents are enforced at all times. This prevents recipients from copying text out of the secure documents, from printing them, and from forwarding them to unauthorised recipients.
Permissions and workflow
		WatchDox offers a highly flexible workflow, facilitating sharing and collaboration while minimising any disruption to your business. Recipients lacking certain privileges (such as the ability to print) can easily request approval from the document owner. The document owner, in turn, receives an e-mail and can approve or deny the request.
